AllChinaBuy Order Tracker Guide: Items, QC Decisions and Parcel Events

An order tracker is most useful when each status belongs to the right item or parcel. One item reaching the warehouse does not mean every item is ready, and a parcel label does not by itself prove dispatch.

This independent guide explains a manual ledger. It does not connect to your account or replace official tracking. Use the order status ledger as the starting structure.

Keep the record and the next action separate

Copy the status that the source actually shows, then add your own next action in a different column.

1. Give each variant its own row

Record a private order reference, source listing, item identifier, selected colour and size, quantity and checked date. Two sizes from the same listing should not share a single ambiguous row.

Keep a local reference such as Item A for use in your worksheet. Keep account identifiers private.

When an option changes, preserve the old selection and record the new one with the date and the source of the change.

2. Record events with their source

Use event date, observed status text, source, checked time and next action. Preserve any time zone displayed by the source.

The event time and the time you checked it can differ. Store both when available rather than presenting an old event as a new movement.

If the page gives no event time, leave it Unknown. Do not invent a dispatch or arrival time to complete the row.

3. Keep QC decisions at item level

For each item, record the QC image date, visible question, evidence reference and your decision. Keep a request for another photograph distinct from an approval.

A readable photo may resolve one question while leaving another open. Track each unresolved issue rather than assigning a broad quality score.

Use personal labels such as Pending review or Decision recorded, and distinguish them from the platform's own status wording.

4. Build a separate parcel record

Assign a parcel reference and list the item references included in it. Keep an unassigned item separate until its parcel relationship is confirmed.

Record the selected route, destination country, quoted or confirmed package information and the date of the source. Store private tracking numbers only in your own record.

Do not copy one parcel's delivery status to an item that belongs to another parcel.

5. Distinguish status stages

A prepared label, an acceptance event, an in-transit event and a delivery event describe different observations. Preserve the exact source wording rather than collapsing them into Shipped.

If two sources disagree, record both with their timestamps and name the discrepancy. Do not erase one to make the timeline look consistent.

Use official support for an order-specific interpretation when needed. This guide does not assign carrier event meanings or forecast delivery.

6. Work through a split-order example

Illustrative example: Item A has QC evidence available; Item B is still awaiting an update. Parcel 1 contains only Item A. The tracker should show A linked to Parcel 1 while B remains unassigned.

When Parcel 1 receives a tracking event, update its record. Do not mark B as dispatched just because both items began in the same shopping shortlist.

These are example worksheet relationships, not real order statuses or service timings.

7. Keep cost states clear

Record item cost, domestic delivery, service charges and international freight separately, with currency and date. Label each amount Estimated, Confirmed or Paid according to the evidence.

Record refunds and later adjustments as separate events. Requested money is not received money.

If a cost is missing, leave it Unknown and describe the total as incomplete. Do not count the same parcel charge once for every item.

8. Review exceptions and close records

Use a next-action field for an unreadable photo, unexplained charge, missing event or unanswered question. Add a review date where useful without inventing a service deadline.

Close an item or parcel record only after documenting the outcome you can verify. Preserve unresolved issues and prior status entries.

Before sharing an example, remove addresses, names, tracking numbers, payment details and account references. Use anonymous sample codes.

Does this tracker update automatically?

No. It is a manual recording method based on your official account and carrier information.

Does a label prove that the parcel left the warehouse?

A label alone does not establish dispatch. Keep the actual event evidence separate.

Can one order contain different item statuses?

Yes. Keep each variant and parcel relationship separately recorded.

What if a source gives no timestamp?

Record the time you checked it and leave the event time Unknown.
